Background of the Study
Accurate recording of staff attendance is vital for efficient administrative management in educational institutions. Kaduna State Polytechnic, Kaduna South LGA, seeks to modernize its attendance tracking through the implementation of a biometric‑based staff attendance system. Traditional manual attendance methods are often error‑prone, susceptible to proxy attendance, and administratively burdensome. The proposed system utilizes biometric technologies such as fingerprint and facial recognition to ensure that attendance records are accurate, secure, and tamper‑proof (Okafor, 2023; Adeyemi, 2024). By automating attendance capture, the system not only reduces human error but also provides real‑time data that can be integrated with payroll and administrative systems. The system is designed to offer a user‑friendly interface for both staff and administrators, with secure data storage facilitated by advanced encryption methods. Moreover, the biometric system enables the generation of comprehensive reports that inform decisions regarding staffing, scheduling, and performance management. The transition to a biometric system is expected to enhance operational efficiency, reduce administrative overhead, and promote accountability within the institution. However, challenges such as high initial installation costs, concerns over data privacy, and the need for continuous technical support must be addressed. Pilot implementations in similar institutions have shown that biometric attendance systems significantly improve accuracy and reliability, making them a promising solution for modern academic management. This study aims to evaluate the design, implementation, and performance of the biometric‑based attendance system at Kaduna State Polytechnic, with a focus on user acceptance and data security (Chinwe, 2024).

Statement of the Problem
Kaduna State Polytechnic currently relies on manual attendance recording methods that are inefficient, prone to errors, and susceptible to proxy attendance. These traditional methods result in inaccurate records, increased administrative workload, and potential discrepancies in payroll and performance evaluations. Although the implementation of a biometric‑based attendance system offers a promising solution by ensuring that attendance data is accurately captured and securely stored, several challenges hinder its deployment. Technical challenges include ensuring interoperability with existing administrative systems, managing the high initial costs associated with biometric hardware, and addressing concerns regarding data privacy and the security of sensitive biometric information. Furthermore, resistance from staff accustomed to manual processes and potential issues related to system downtime and maintenance further complicate implementation. The absence of a robust, automated attendance system negatively impacts overall institutional efficiency and undermines accountability. This study seeks to assess the effectiveness of a biometric‑based system at Kaduna State Polytechnic by comparing its performance with traditional methods and identifying key technical and operational barriers. Through the collection and analysis of system performance metrics and user feedback, the research aims to propose strategies to improve data integration, enhance system reliability, and ensure user acceptance, thereby contributing to a more efficient and secure attendance management process (Adeyemi, 2024).

Objectives of the Study

  • To design and implement a biometric‑based staff attendance system.

  • To evaluate the system’s accuracy, data security, and operational efficiency.

  • To propose strategies for overcoming technical and user adoption challenges.

Research Questions

  • How does the biometric system improve attendance accuracy compared to manual methods?

  • What technical challenges affect system integration and data security?

  • Which strategies can enhance user adoption and system reliability?

Significance of the Study
This study is significant as it aims to improve staff attendance management at Kaduna State Polytechnic through the implementation of a biometric‑based system. By automating attendance recording and enhancing data accuracy, the system is expected to reduce administrative burdens and improve accountability. The findings will provide valuable insights for academic administrators and IT professionals seeking digital solutions to modernize attendance management (Okafor, 2023).

Scope and Limitations of the Study
This study is limited to the implementation of a biometric‑based staff attendance system at Kaduna State Polytechnic, Kaduna South LGA.

Definitions of Terms

  • Biometric Attendance System: A digital system that uses biometric data for verifying and recording attendance.

  • Proxy Attendance: The practice of marking attendance for an absent individual.

  • Data Security: Measures implemented to protect digital information from unauthorized access.
